When a hospital in Lagos or a clinic in Abuja purchases medical equipment from a supplier in the United States, there are aspects of the transaction that might make you feel uneasy: you cannot walk into the warehouse, inspect the equipment in person before it ships, or easily verify the quality systems the company operates under. You are making a significant financial decision based largely on trust.

But how do you know which company you can trust? And how can a company earn your trust from thousands of miles away?

What Is ISO 13485:2016?

ISO 13485:2016 is the international standard for quality management systems in the medical device industry. It was developed by the International Organization for Standardization (ISO) and is recognized by regulatory authorities and healthcare procurement bodies worldwide.

The standard applies to organizations involved in the design, development, production, and delivery of medical devices, including companies that refurbish and resell used medical equipment. To achieve certification, a company must:

  • Establish and document a comprehensive quality management system covering every relevant stage of its operations
  • Implement rigorous systems for tracking and resolving product noncompliance
  • Submit to regular independent audits by an accredited certification body to verify ongoing compliance

The “2016” refers to the most recent edition of the standard, published in March 2016. Companies certified to this edition have met the current, up-to-date requirements, not some older version of the standard.

Nigeria’s medical device regulatory framework is administered through the National Agency for Food and Drug Administration and Control (NAFDAC). NAFDAC requires that all medical devices imported into Nigeria be registered before they can be legally sold, distributed, or used, a process managed in-country by a local Nigerian agent. Among the documents NAFDAC requires for imported medical devices is a Certificate of Compliance with Recognized Standards where available, along with a Certificate of Manufacture and Free Sale from the relevant regulatory authority in the country of origin. Purchasing from an ISO 13485:2016 certified, FDA-registered US supplier means the Certificate of Compliance with Recognized Standards is available and verifiable, and the other documents are easily obtained also. Having the right documentation supports your local agent’s NAFDAC registration process and reduces the risk of delays or complications.

5. It Helps Protect You

Certified companies are required to maintain nonconformance and complaint handling processes, meaning there is a documented system for catching and addressing problems which you can ask about beforehand, instead of relying on a vague promise or feeling that the company would help. Typically this helps a buyer to feel much more confident in their purchase.

How to Verify a Supplier’s ISO 13485:2016 Certification

Do not rely solely on a supplier’s own claim that they are ISO certified. Certificates can be expired, falsified, or misrepresented. Before purchasing, ask the supplier to provide:

  • A copy of their current ISO 13485:2016 certificate
  • The name of the accredited certification body that issued it
  • The certificate’s expiration date

With this information, you can verify the certificate independently by contacting the certification body directly or checking their online registry. Legitimate certification bodies maintain registries of their certified clients.

If a supplier cannot provide a current, verifiable certificate from a recognized accreditation body, treat their claim of achieving ISO 13485 certification with skepticism.
